This Privacy Policy describes how FieldLine collects, uses, and shares information when you use our Service. By using FieldLine, you agree to this Policy.
1.Information we collect
- Account information: name, email, business name, billing address.
- Payment information: processed and stored by Stripe; we only receive card-type, last 4 digits, and expiry.
- Call data: phone numbers involved, call duration, timestamps, recordings, transcripts, AI-generated summaries and extracted lead data.
- Contact/lead data: names, phone numbers, and notes about callers, as captured by the Service or entered by you.
- Usage data: pages visited, actions taken, device and browser information, IP address, approximate location derived from IP.
2.How we use information
- To provide, maintain, and improve the Service.
- To process calls, generate transcripts and AI summaries, and extract lead data.
- To bill you and manage your subscription.
- To communicate with you about your account, service changes, and security.
- To detect, prevent, and address fraud, abuse, and security incidents.
- To comply with legal obligations.
3.Third-party processors
We share information with these providers solely to operate the Service:
- Twilio — phone numbers, call routing, recording storage.
- Stripe — payment processing.
- Deepgram — call transcription.
- Anthropic — AI summaries and lead extraction from transcripts.
- Resend — transactional email delivery.
- Supabase — database, authentication, and file storage.
- PostHog — product analytics.
- Sentry — error monitoring.
Each processor is contractually bound to use data only as needed to provide its service to us.
4.Sharing and disclosure
We do not sell your personal information. We disclose information only: (a) to the processors listed above; (b) to comply with a valid legal process; (c) to protect the rights, property, or safety of FieldLine, our users, or the public; (d) to a successor entity in connection with a merger, acquisition, or sale of assets, with notice to you.
5.Cookies and similar technologies
We use cookies and similar technologies for: session management (required), product analytics (PostHog), and preference storage. You can disable non-essential cookies in your browser; the Service may not function correctly without session cookies.
6.Data retention
Call recordings and transcripts are retained for the duration of your subscription and deleted within 30 days of cancellation, unless you export them first. Billing records are retained for 7 years to comply with tax and accounting obligations. Account metadata is deleted within 30 days of account closure. You can request earlier deletion at any time — see Section 7.
7.Your rights
Depending on your location, you may have the right to: access, correct, delete, or export your personal information; object to or restrict processing; withdraw consent; and lodge a complaint with a supervisory authority. To exercise any of these rights, email
privacy@fieldline.work. We will respond within 30 days.
8.Security
We use TLS for data in transit and encryption at rest. We apply the principle of least privilege and log administrative access. No system is perfectly secure; if you suspect an incident affecting your account, contact us immediately.
9.Children
FieldLine is not intended for anyone under 18. We do not knowingly collect information from children. If you believe a child has provided us information, contact us to have it removed.
10.International transfers
FieldLine is operated from the United States. If you access the Service from outside the US, your information will be transferred to and processed in the US and other countries where our processors operate.
11.Changes
We may update this Policy from time to time. Material changes will be announced via email or in-app notice at least 14 days before they take effect.
